Role Purpose:

We are seeking an organized, driven, and highly discreet individual to join our high-performing team as an Office Admin Manager. Are you someone who thrives on creating order, ensuring people are in the right place at the right time, and managing complex processes to achieve the best outcomes? If so, this role could be for you.

As an Office Admin Manager at LRQA, you will be responsible for providing a wide range of high-level support to key members of our Greater China Leadership Team. You will ensure they are able to effectively manage their priorities and lead their teams to achieve the company’s strategic objectives across the region.

This role is dual-focused: you will act as the operational backbone of the Shanghai office while owning the internal communications strategy for Greater China. This is a unique opportunity that will allow you to see the inner workings of a global business at a high level, providing you with a great springboard for progression within the company.

Key Responsibilities:

Office Management

  • Manage the Shanghai office operations, including facilities management, vendor relationships, office supplies, and equipment maintenance.
  • Coordinate and execute local events, meetings, and conferences.
  • Manage the administrative needs of the Greater China offices, including invoice processing and maintaining organised digital and physical filing systems.
  • Act as the primary point of contact for office-related queries and building management.

Internal Communications

  • Own the internal communications strategy for Greater China, ensuring alignment with global messaging.
  • Plan, organise, and execute Town Halls for the region.
  • Draft, edit, and distribute localized newsletters and key messages for Greater China employees.
  • Serve as the bridge between the Greater China Leadership Team and the broader employee base, ensuring clear and consistent communication flow.

Executive & Leadership Support

  • Act as the go-to person for the Greater China Leadership Team, working quickly to manage and anticipate priorities, ensuring full meeting preparation and providing briefings and background information.
  • Act as an extension of the GC Leadership Team to liaise with internal and external clients, government bodies, and industry partners across the region.
  • Use strong organisation and prioritisation skills to manage complex diaries across multiple time zones, including scheduling meetings and booking domestic and international travel.
  • Create, develop, and manage reports, ensuring a clear and concise overview of issues, risks, or project statuses for the leadership team.
  • Get involved in various regional projects, working with different stakeholders across Greater China and globally.
  • Handle highly sensitive and confidential information with the utmost discretion and professionalism.
  • Provide translation and interpretation support (English and Mandarin) for meetings, documents, and correspondence as required.

What You’ll Bring:

  • Strong experience within a similar role (Office Manager, EA, or PA) in a fast-paced commercial environment, preferably supporting a regional or country leadership team.
  • Communications Expertise: Proven experience in internal communications, including drafting newsletters, managing town halls, and crafting corporate messaging.
  • Language Skills: Strong communication skills, both written and verbal, in English and Mandarin, demonstrating the ability to adapt style and tone accordingly to different situations and stakeholders.
  • Organisational Skills: Exceptional organisational skills and a meticulous eye for detail.
  • Resilience: Confidence and resilience – the ability to move projects and tasks along at pace and hold others accountable.
  • Adaptability: The ability to juggle different tasks, effectively prioritising and managing competing demands from multiple senior leaders.
  • Discretion: Able to display high levels of confidentiality and discretion, with a proven track record of handling sensitive information.
  • Attitude: A proactive and enthusiastic approach, with a desire to learn about the business and contribute to the team’s success.
  • Cultural Fit: Familiarity with the Greater China business environment and cultural nuances is highly desirable.
