We are seeking a highly skilled and experienced Personal Assistant to provide high-level administrative support and play a crucial role in ensuring the seamless operations of the Executive Leadership Team’s office. This position is integral to the efficient functioning of the leadership team, as you will be at the heart of managing their day-to-day responsibilities, allowing them to focus on strategic priorities.

How will you make an impact?

  • Support a portfolio of the executive leadership team members (EVP Americas & Global Operations Director) – co-ordinate and manage their schedules, including meetings, appointments and travel arrangements.
  • Act as the key point of contact for internal and external communications, including emails, phone calls and correspondence representing the LRQA brand and values.
  • Prepare agendas, take minutes, and follow up on action items for meetings.
  • Conduct research and provide insights on various topics as needed.
  • Coordinate and manage events, conferences and business functions - researching vendors, negotiating prices, recruiting support, writing a run of show, and taking care of the small details.
  • Assist with special projects and initiatives as directed by executive leadership team members and/or Executive Assistant to the CEO.
  • Plan and book travel, accommodations, and itineraries for members of the executive leadership team members.
  • Track and reconcile expenses, ensuring timely and accurate reporting.
  • Organise and maintain confidential files and documents.
  • Think and work ahead, keeping a constant overview of upcoming meetings and commitments, understanding clashes you’ll need to get ahead of. 
  • Support the Executive Assistant to the CEO with general administrative duties, including office management.
  • Provide cover for the Executive Assistant to the CEO and Executive Leadership Team
  • Create purchase orders and manage invoices through the ByD System ensuring suppliers are paid in a timely manner.
  • Create and manage supplier details in the ByD system - act as point of contact for supplier/invoicing queries with accounts payable.
  • Provide receptionist support and ensure the office is equipped and runs well.
  • Manage the post and couriers in and out of the office
  • Book meeting rooms as required for Executive Committee and other members of LRQA as requested.

  • The ability to remain calm under pressure, work well as part of a team, and have the experience of providing high standard of support. You will also be aware of the importance of maintaining confidentiality within an executive work environment.
  • Have excellent verbal and written communication skills, with an ability to convey clear and compelling messages, flexing tone and style to suit the situation, always with a professional manner.
  • Outstanding people skills and strong emotional intelligence.
  • A great attention to detail, especially when you’re up against it, as well as being highly organised, with an excellent working system goes without saying.
  • Resilient and able to think and act appropriately when the working environment is, at times, stressful and highly demanding
  • Have an inventive and creative approach to problem solving, understanding that nothing is an issue, and every challenge can be overcome.
  • Experienced in efficiently balancing multiple tasks at any given time.
  • Solid understanding of all MS Office applications including Outlook, PowerPoint, Word and Excel technical savvy and the ability to learn new software quickly and be comfortable with email and internet.
  • Naturally, you have a warm and welcoming personality, and enjoy always going above and beyond.
